The balance book is an important part of your administration. Every counted day is stored in the balance book. In the balance book, you can view already counted days, you can approve them, and if you have the appropriate permissions, you can also modify counts here.

Analyzing a period

Make sure that all settings are correct before choosing a date. First, select the correct Period. The period is the month and a year you want to view in the Balancebook. Then it is essential to think about how you want to display the cash registers. If you have multiple cash registers in your business, you can select how to display them under the Options menu as well, meaning you can select to display them all at once or individually.

When you have set everything up to your liking, you can read the most critical data in the overview of all data within the selected period. By default, you see the most essential parts, such as Opening Till, Revenue, Payments, Extra items and Final Till. If desired, you can view more details by clicking on the name of the column and a drop-down menu will appear, revealing all additional details for that counted day.

Viewing a specific day

By clicking on a specific day of the month, you open all the data for that date. In the pop-up that appears, you can see all the data as filled in by the person who counted the day. If desired, you can edit a count by clicking on the “Edit” button. However, please note that changes you make can affect the cash balance. Therefore, it is not recommended to edit days when there are already days filled in with a date that is younger than the one you are editing. If a day is filled in correctly, and you want to approve it, use the “Confirm” button. Note that which buttons are visible to you depends on your user role.

Approve days in bulk

The status of a specific day can be seen by the color of that day. A yellow background means that the day has been filled in, but not yet approved. You can still edit or delete it if desired. A green background means that the day has been approved. Only approved days can be displayed as Booking Proposal and sent to accounting.

Using the checkboxes in front of the data, you can approve multiple days at once. When you check one or more checkboxes, you will see two buttons appear below the overview. After making the selection, clicking the “Confirm” button approves all selected days at once.
